Connecting Your Fleet to World-Class Fuel Security with Precision and Reliability
Effective Date: 31/08/2025
Company: Apex Technology Marketing & Trading Co. W.L.L – Exclusive Distributor of TankSafe® in Kuwait, GCC, Middle East & Africa.
Welcome to the TankSafe® Shipping & Delivery Policy, your comprehensive guide to how we manage the secure, timely, and professional logistics of delivering the world’s leading fuel security devices to your fleet. As the exclusive regional partner for TankSafe®, Apex Technology is committed to providing a seamless experience from the moment you place your order to the moment your assets are protected.
We understand that in the world of logistics, transport, and industrial operations, time is money. Unforeseen delays can impact project timelines, leave assets vulnerable, and disrupt your entire supply chain. That is why our shipping and delivery framework is built on the principles of transparency, efficiency, and reliability.
This policy outlines every aspect of our logistics process, including order processing, shipping methods, delivery timelines, customs procedures, and our responsibilities as your trusted supplier. Whether you are a large-scale fleet operator in Saudi Arabia, a construction manager in the UAE, a logistics provider in Kuwait, or a mining operator in Africa, this document serves as our commitment to delivering excellence.
1. Our Shipping Philosophy: A Cornerstone of Your Fleet's Security
At TankSafe®, our mission extends beyond manufacturing a superior product. We are dedicated to ensuring that this critical security hardware reaches you safely and on schedule, ready for immediate deployment. Our shipping philosophy is not merely about moving boxes; it’s about upholding the promise of security from our factory to your fuel tank.
Our logistical operations are guided by three core principles:
- Global Reach, Local Expertise: We leverage TankSafe®’s global supply chain infrastructure to manage inventory and manufacturing, while our regional hub in Kuwait, managed by Apex Technology, provides localized expertise. This hybrid model allows us to handle complex international customs, duties, and regional logistics with an efficiency that generic international shippers cannot match.
- Transparency at Every Stage: We believe in proactive communication. From order confirmation and dispatch notifications to tracking information and delivery estimates, you will be kept informed. We eliminate the guesswork, allowing you to plan installations and fleet schedules with confidence.
- Security in Transit: Just as our products protect your fuel, we take every measure to protect your order in transit. We partner with world-class, vetted courier and freight services known for their reliability and security protocols. Every shipment is robustly packaged and fully insured to mitigate the risk of damage or loss.
This philosophy ensures that the integrity of your investment is maintained throughout the entire logistics journey, reflecting the high-value nature of both the products we sell and the assets you aim to protect.
2. Order Processing & Dispatch Timelines: Your Order's First Mile
Efficiency begins the moment your order is confirmed. Our streamlined order processing system is designed to move your purchase from confirmation to dispatch as quickly as possible.
Standard Order Processing:
- Order Confirmation: Upon successful placement of an order and verification of payment, you will receive an official Order Confirmation email. This email will contain your order number, a summary of the items purchased, and the billing/shipping details. Please review this carefully and contact us immediately if there are any discrepancies.
- Processing Time: For in-stock items, orders are typically processed and prepared for dispatch within 2-3 business days. Business days are defined as Sunday to Thursday, excluding public holidays in the State of Kuwait.
- Large Volume & Custom Orders: For large fleet orders, custom-configured devices, or items that are not currently in our regional stock, processing times may be longer. In these cases, your dedicated account manager will provide a precise timeline and keep you updated on the manufacturing and allocation schedule.
Dispatch Notification: Once your order has been packaged, labelled, and handed over to our logistics partner, you will receive a Dispatch Notification email. This critical communication will include:
- The name of the courier or freight forwarder.
- Your unique tracking number(s).
- A direct link to the logistics partner’s tracking portal.
This notification signifies that your order has officially begun its journey to your location.
3. Shipping Methods & Delivery Partners: Your Choice, Our Reliability
We offer a range of shipping options to cater to the diverse needs of our clients, from urgent single-unit replacements to large-scale palletized freight for entire fleets. We have established strategic partnerships with leading global and regional logistics providers to ensure reliable service across our entire operational territory.
Our Primary Logistics Partners Include:
- DHL Express: For fast, reliable, and time-definite international and regional deliveries. Ideal for smaller, high-urgency shipments.
- FedEx: Offering a comprehensive suite of international shipping services with excellent tracking capabilities.
- Aramex: A leading logistics provider in the Middle East, offering deep regional expertise and an extensive ground network.
- Specialized Freight Forwarders: For very large, palletized, or oversized orders, we engage with specialized air and sea freight forwarders to ensure cost-effective and secure handling.
Available Shipping Tiers:
- Express Air Freight: The fastest option for international and regional deliveries. Recommended for urgent operational needs.
- Standard Air Freight: A balance of speed and cost-effectiveness for routine orders.
- Road Freight (within GCC): An economical option for larger, less time-sensitive orders being delivered to countries within the Gulf Cooperation Council.
- Sea Freight: The most cost-effective solution for exceptionally large, non-urgent bulk orders. Please consult with our sales team for a custom quote and timeline.
The available shipping methods for your specific location will be presented at the time of order or quoted by your account manager.
4. Estimated Delivery Timelines: Planning Your Installations with Confidence
While we strive for maximum accuracy, delivery timelines are estimates and can be affected by factors outside our direct control, such as customs clearance and carrier delays. The following table provides general estimates for our most common shipping destinations.
Destination Region | Express Shipping (Air) | Standard Shipping (Air/Road) |
|---|---|---|
State of Kuwait | 1-2 Business Days | 2-3 Business Days |
GCC Countries (KSA, UAE, Qatar, Bahrain, Oman) | 3-5 Business Days | 5-10 Business Days |
Wider Middle East (e.g., Jordan, Egypt) | 4-7 Business Days | 7-14 Business Days |
African Nations | 5-10 Business Days | 10-20+ Business Days |
Important Considerations:
- These timelines begin after the order has been dispatched (i.e., after the 2-3 day processing period).
- Deliveries to remote or hard-to-reach areas may take longer than the estimates provided.
- Timelines for sea freight are significantly longer and will be quoted on a case-by-case basis.
We are committed to meeting these timelines and will proactively communicate any significant, unforeseen delays.
5. Shipping Costs, Insurance, and Handling Fees
Shipping costs are calculated based on several factors:
- The total weight and dimensions of the shipment.
- The destination country and city.
- The selected shipping method (e.g., Express vs. Standard).
Calculating Your Shipping Cost: For online orders, the shipping cost will be automatically calculated and displayed at checkout before you finalize your payment. For large or custom orders, your account manager will provide a detailed shipping quote along with your proforma invoice.
Mandatory Transit Insurance: The security of your investment is paramount. Every TankSafe® shipment is dispatched with full transit insurance that covers the total value of the goods against loss or damage during transit. This is a non-negotiable part of our shipping policy and is included in the final shipping cost. In the unlikely event of a shipment being lost or arriving damaged, this insurance ensures a swift replacement can be arranged (see Section 8 for details).
Handling Fees: A nominal handling fee may be applied to orders to cover the cost of specialized packaging materials required to protect the high-finish, robust construction of TankSafe® devices.
6. Customs, Duties, and Taxes: Navigating International Trade
As an international shipper, it is crucial for our customers to understand the procedures and responsibilities related to customs clearance.
Our Responsibility (The Shipper): Apex Technology is responsible for providing all necessary and accurate export documentation from Kuwait. This includes a detailed commercial invoice, packing list, and certificate of origin. We guarantee that our paperwork will be compliant with international export regulations.
Your Responsibility (The Importer/Buyer): The recipient of the goods is considered the “Importer of Record” and is responsible for:
- Import Duties & Taxes: All applicable customs duties, import taxes, VAT, or other tariffs levied by the destination country’s government. These charges are not included in our product or shipping prices.
- Customs Clearance: Liaising with the customs authorities in your country or a designated customs broker to clear the goods for entry. Our logistics partners (like DHL and FedEx) typically handle this process on your behalf and will bill you directly for any duties owed.
- Providing Additional Information: In some cases, customs authorities may require additional information or documentation from you to process the shipment. Promptly responding to such requests is essential to avoid delays.
Refusal to Pay Duties: If a shipment is refused by the recipient due to an unwillingness to pay the required duties and taxes, it will be returned to us at the buyer’s expense. Any return shipping fees, plus an additional restocking fee, will be deducted from the refund of the product’s value. Original shipping costs are non-refundable.
7. Shipment Tracking and Delivery Confirmation
Once your order is dispatched, you can monitor its journey in real-time.
- Using Your Tracking Number: Use the tracking number provided in your Dispatch Notification email on the carrier’s website to see the latest status updates, location scans, and the estimated delivery date.
- Delivery Attempts: Our carriers will typically attempt delivery to the provided shipping address once or twice. If no one is available to receive the package, they may leave a notice with instructions for re-delivery or pickup from a local facility. It is the buyer’s responsibility to arrange for receipt of the goods.
- Proof of Delivery (POD): A signature is generally required upon delivery to confirm receipt of the goods in good condition. This acts as the official Proof of Delivery and finalizes the shipping process.
8. Handling Damaged or Lost Shipments
Thanks to our robust packaging and insured shipping, incidents of damage or loss are extremely rare. However, we have a clear procedure in place to resolve such issues swiftly.
If Your Order Arrives Damaged:
- Do Not Refuse the Shipment: Accept the delivery from the courier.
- Note the Damage: If the packaging is visibly damaged, make a note of it on the courier’s delivery receipt before signing.
- Document Everything: Within 48 hours of receipt, take clear photographs of the damaged outer packaging, the inner packaging, and the specific damage to the TankSafe® device(s).
- Contact Us Immediately: Email all photos, along with your order number and a description of the damage, to our support team at info@tanksafekuwait.com.
Our team will initiate an insurance claim with the carrier and arrange for a replacement unit to be sent to you as quickly as possible.
If Your Order is Lost in Transit: If your tracking information has not been updated for an extended period or the carrier has declared the shipment lost, please contact us immediately. We will work with the carrier to trace the package. If it is confirmed as lost, our transit insurance will cover the cost, and we will dispatch a replacement order at no additional charge to you.
